Welcome to Harmony Stays Ltd (“we,” “us,” “our”), a UK-based company offering serviced accommodation bookings via our website (the “Site”). By using our Site and booking accommodation through Harmony Stays Ltd, you agree to comply with and be bound by the following terms and conditions (“Terms”). Please read these carefully before using the Site or making a booking. If you do not agree with these Terms, you should not use this Site.

1. Definitions

  • “Company” refers to Harmony Stays Ltd, a company registered in England and Wales with the company number 13492788, having its registered office at Harmony Stays, Crocus St, Nottingham NG2 3EL.
  • “Guest” refers to any individual making a booking on the Site or staying at the accommodation provided by Harmony Stays Ltd.
  • “Accommodation” refers to the serviced properties offered by Harmony Stays Ltd through the Site.
  • “Site” refers to the Harmony Stays Ltd website, where bookings are made.
  • “Booking” refers to a reservation made by the Guest for any Accommodation provided by the Company.

2. Use of the Site

By accessing and using the Site, you represent that you are at least 18 years old and have the legal capacity to enter into this agreement. You agree to use the Site in compliance with all applicable laws and these Terms.

3. Booking Process

  • Availability: All bookings are subject to the availability of the selected Accommodation at the time of booking.
  • Confirmation: Once a booking is made, you will receive a confirmation email with the booking details. A contract between you and Harmony Stays Ltd will only come into effect when you receive this confirmation.
  • Payment: Full payment or a deposit (as specified at the time of booking) must be made to secure your reservation. The Company accepts payment via credit/debit card or other payment methods as specified on the Site.

4. Pricing and Payment

  • Pricing: The price for the Accommodation will be displayed on the Site at the time of booking. All prices are inclusive of VAT (where applicable) unless otherwise stated.
  • Payment Terms: The Guest must pay in accordance with the payment schedule set out at the time of booking. Failure to make payments on time may result in the cancellation of the booking.

5. Cancellation and Refund Policy

  • Cancellation by the Guest: Cancellations must be made in writing via email. The following cancellation charges apply:
    • Cancellations made more than 7 days before check-in: 100% refund of the booking fee minus any card fees paid by Harmony Stays Ltd.
    • Cancellations made less than 7 days before check-in: No refund.
  • Cancellation by the Company: Harmony Stays Ltd reserves the right to cancel a booking under exceptional circumstances. In such cases, you will be notified as soon as possible and will receive a full refund of any payments made.
  • Refunds: Any refunds due will be processed within 1 working days of the cancellation notice.

6. Check-in and Check-out

  • Check-in: Check-in is available from 15:00pm on the day of arrival. Early check-in may be available upon request and subject to availability.
  • Check-out: Check-out is by 11:00am on the day of departure. Late check-out may result in additional charges.

7. Guest Obligations

  • Conduct: Guests must behave responsibly and treat the Accommodation with care. Any damage caused to the property, furnishings, or amenities must be reported immediately and may result in additional charges.
  • Occupancy: Only the number of people specified at the time of booking is permitted to stay at the Accommodation. Subletting or sharing with third parties not listed in the booking is prohibited.
  • Noise and Disturbances: Guests must not cause a nuisance or disturbance to neighbours or other occupants. Excessive noise, parties, or illegal activities are strictly prohibited.

8. Damages and Security Deposits

  • Security Deposit: A refundable security deposit may be required at the time of booking to cover any potential damages. This will be refunded within 3 days of check-out, provided no damages or breaches of these Terms have occurred.
  • Damages: Guests are responsible for any loss, damage, or breakage caused to the Accommodation or its contents. Harmony Stays Ltd reserves the right to deduct the cost of damages from the security deposit or charge the Guest directly if the cost exceeds the deposit amount.

9. House Rules

  • Smoking: Smoking is strictly prohibited inside all Accommodation. A cleaning fee will be charged for any violations of this rule.
  • Pets: Pets are not allowed unless specifically agreed upon at the time of booking.
  • Cleanliness: Guests are expected to leave the property in a reasonably clean and tidy condition. Additional cleaning fees may apply if the property is left excessively dirty.
  • Parties: We operate a strict no party or gatherings policy at the property, if guests break these rules this may result in being removed from the property and the full damage deposit being taken.

10. Limitation of Liability

  • Harmony Stays Ltd is not responsible for any personal injury, illness, loss, or damage to the Guest’s property during the stay, except where such loss or damage is caused by the Company’s negligence.
  • The Company does not accept liability for the acts or omissions of third parties, including but not limited to utility providers, local authorities, or external contractors.

11. Force Majeure

Harmony Stays Ltd will not be held liable for any failure to meet its obligations if such failure is due to events beyond the Company’s control, including but not limited to natural disasters, pandemics, strikes, or government restrictions.

12. Changes to Bookings

If the Guest wishes to amend their booking, they must contact Harmony Stays Ltd in writing. Amendments are subject to availability and may incur additional charges.

13. Privacy and Data Protection

Harmony Stays Ltd is committed to protecting your privacy. We will process personal data in accordance with our Privacy Policy, which can be found [Link to Privacy Policy].

14. Governing Law and Jurisdiction

These Terms and any disputes arising out of or in connection with them are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

15. Changes to Terms and Conditions

Harmony Stays Ltd reserves the right to modify or update these Terms at any time. Any changes will be posted on the Site, and it is the Guest’s responsibility to review the Terms before making a booking.
